NIH JIT Module Updates and Guidance

The National Institutes of Health has restructured the eRA Commons just-in-time (JIT) module with changes that affect the way information must be submitted.

Updates to JIT Module

The updated module now includes a dedicated Senior/Key Personnel section. For each individual, ORSP must manually enter their eRA Commons ID to populate the personal profile information (see image below). Since the new Current and Pending Other Support (CPOS) does not include the eRA Commons ID, ORSP may contact project teams to obtain or verify this information.

In addition, there are now separate uploaders for each senior/key person’s Biographical Sketch, CPOS and Foreign Contract documents. When Requesting ORSP Action, upload the CPOS document, and others if needed, for each investigator as a separate PDF file. Include the investigator's Commons ID in the CPOS filename.

Individual uploaders remain for the Budget, DMS Plan, Other, Human Subjects Education and Genome Data Sharing Certification, so separate documents should be provided for each of those sections, if applicable.

Important Reminders for Responding to JIT Requests

ORSP recommends responding to official JIT requests as soon as possible to allow adequate time for navigating the system changes and additional steps required. Important reminders:

  • Verify required ORCID-to-eRA links now to avoid JIT submission delays (see Linking Your ORCID iD to Your eRA Commons Account).
  • Provide separate PDF files (not portfolios) for each individual.
  • Rename the CPOS file instead of resaving it to avoid triggering a JIT error. To rename, right click on the downloaded version. ORSP recommends including the eRA Commons ID in the file name.

Note, although a JIT link may appear in eRA Commons after an application is scored, it is not an invitation to submit. Applicants are notified of JIT requests via a direct email from an NIH grant management specialist. Submitting prior to the official request may result in duplicative work as documentation becomes outdated.
